Why convert XLSX to PDF?

An Excel file is editable and needs a spreadsheet app to open. A PDF is the fixed, universal version: the recipient sees your numbers and layout exactly as set, on any device, cannot accidentally change a formula or a figure, and can print it cleanly. What is XLSX?

XLSX is the Excel workbook format introduced with Office 2007: a zip archive of XML sheets, styles and formulas. It is the default container for tabular data in business, but a workbook is a living calculation, not a document, so layouts shift between Excel versions and alternative spreadsheet apps. What is PDF?

Quality and what to expect

The sheet is rendered the way it would print: cell values, text, borders, fills and number formatting all come through, and formulas show their computed results rather than the formula text. The one thing to plan for is width: a spreadsheet wider than a page splits across pages exactly as Excel would print it, so for a compact result set the print area or turn on fit-to-page in Excel before converting. Why did my wide spreadsheet split across several pages?

Because it is wider than one page, and the conversion paginates it exactly as Excel would print it. For a compact result, set the print area or turn on fit-to-page (Page Layout, Scale to Fit) in Excel before converting.

Do my formulas still work in the PDF?

A PDF is not a live spreadsheet, so formulas do not recalculate. They show their computed values at the moment of conversion, which is exactly what you want for a fixed record of the numbers.

Can the recipient change my numbers?

No. The PDF is fixed, so a budget, invoice or report you send cannot have a figure or formula altered the way an editable .xlsx can. That is usually the reason to convert.
